This month we will be implementing a new process for students booking facilities and equipment. Students will now be required to show their student ID in order to collect rooms keys and equipment they have booked out. We are introducing this new process in an effort to increase security and for the benefit and safety of all students and staff.
We hope this new procedure will remind students who are coming to Spirit to remember their student IDs, and also let us know as soon as possible if they need a replacement if they lose their ID.
The new procedure is as follows and will come into effect on Monday, 19 February 2024.
- When you go to reception to sign out equipment or a room key, you will be asked to show your student ID.
- If you are unable to do so, you will be asked to scan a QR code and complete a short Google form it will take you to. A copy of the form is shown below:
- Once you have completed the form, the person at reception will confirm your submission and you will be given the room key/equipment.
- If you have lost your ID and selected the option for a replacement ID, this will be ordered. The first replacement will be free of charge, any subsequent replacements will incur a charge of £3.
- Each time you fill in the form, a log is kept.
- Any students who have been unable to present their ID on three occasions will receive an informal reminder by email.
- Any students who have been unable to present their ID on five or more occasions will receive an formal email informing them that they will be banned from booking facilities for one week.
- The log showing the number of times you have failed to present your ID will be reset at the start of each academic year.
As a reminder, as per our student Welfare and Wellbeing policy all students are required to have their student IDs and lanyards visible while in the building, and to sign-in and out of the building.
